Administrative Assistant

Job Description:               Administrative Assistant

Reporting to:                     Operations

Location:                             Seattle, WA

 

This Administrative Assistant role at Indigo Real Estate Services is a great opportunity to work on the core business in support of Operations Team.  We are looking for an organized, detail-oriented, independent, and flexible Operations Assistant who enjoys a fast-paced work environment.

 

The successful candidate will possess the ability to multitask, make smart and timely decisions with limited guidance, anticipate needs, and react with appropriate levels of urgency to situations and events that require quick response with superb communication skills. He or she will be highly self-motivated with a strong sense of initiative and the ability to anticipate needs.

 

Job Requirements:

-          Manage and oversee deadline calendars for a portfolio of properties and all operational reporting including, but not limited to: Weekly Reports, Monthly and Quarterly Financial Operating Reports, Reserve Replacements, Market Surveys and others

-          Proof reading reports, online marketing, business, staffing and marketing plans

-          Tracking of reports (on time, accurate, and score them)

-          Upkeep of information in property software, property information sheets

-          Filing (electronically and physically when appropriate) in timely manner and other administrative duties as needed

-          Administrative assistance of the annual budget process and deadlines

-          Answer phones, take messages and distribute to appropriate support department or team lead

-          Internal/external communication (written and verbal) with internal departments, properties, residents, vendors and clients

-          Assists in meeting planning and any preparation work needed, i.e., drafting agendas, scheduling meetings, etc.

-          Coordinates and/or assists in all events and culture/team building events

-          Keep daily calendar of tasks and deadlines while maintaining the deadline calendar one year in advance or more

-          Assisting as needed with property inspections

-          Cross train in other departments of Indigo

-          Other tasks as assigned or directed

-          Continued Education taking property related classes/courses

 

Qualifications:

·         AA degree highly preferred, or equivalent business experience

·         3-5 years of experience in an Administrative position, ideally in a multi-family environment

·         Working knowledge of Yardi or eSite/AMSI or other property management software preferred

·         Superior navigation in Excel, knowledge of formulas, graphs and pivot tables is a plus

·         Advanced experience in Outlook, Word, PowerPoint and Adobe

·         Ability to type 80 words per minute with superior use of a ten-key

·         Ability to exercise quick and accurate judgment and maintain confidentiality

·         Effective in conflict resolution and customer service

·         Effectively prioritizes numerous requests and incoming information, ensuring appropriate level of response and urgency is given to each

·         An effective and proactive problem-solver, able to analyze all situations thoroughly in order to anticipate problems before they arise

·         Ability to set priorities with a strong attention to detail

·         Able to manage multiple-step procedures and handle frequent interruptions in work flow and work under pressure to meet firm and changing deadlines

·         Must be articulate and possess excellent verbal and written communication skills. Superior grammar and spelling is a must. This role involves frequent interaction with all levels in the company including senior executives inside and outside of Indigo

·         Exhibits integrity, positivity, professionalism and composure at all times in all situations

·         Ability to synthesize information from multiple sources

·         Is receptive to feedback, a fast-learner, self-motivated and proactive communicator

·         Ability to work independently and in a team environment with a diverse group of staff
